✴︎ designing the ultimate corporate event hub
CONTEXT
During my first two months at GlobalLogic Romania (ex Fortech), I was given an internal project as part of my onboarding experience. My role? UI/UX design for a proof-of-concept (POC) event management app.
Although the initial goal was an internal tool for corporate events, the broader vision was to scale the product and market it externally. This meant designing not just for our company, but for potential clients too.
CHALLENGE
We were starting from scratch- no existing framework, no design system, just an idea. The main questions we needed to answer:
- How do we build an intuitive, scalable event management tool that fits corporate needs?
- How do we differentiate from existing platforms like iaBilet.ro or eventim.ro?
- How can we simplify communication and engagement for HR and marketing teams?
On top of that, this was an iterative project with constant feedback and evolving requirements. We needed a flexible, structured design approach to keep up. We kicked off the project with a brainstorming session- me, a software developer, and a business analyst.
- Understanding the problem & market gap
We identified key insights:
- Existing event platforms weren’t designed for corporate use.
- HR and marketing teams struggled with event visibility & communication.
- Companies needed a centralized hub for internal and external events.
- Designing for scalability & flexibility
To ensure a smooth design process, I focused on three key principles:
- Document everything: with 10+ rounds of feedback, I kept a record of all changes, decisions, and their impact. To keep things organized, I documented every session- what changed, why it changed, and how it affected the final design. Crossing tasks off my agenda became an oddly satisfying ritual that gave me a clear view of the project’s progress.
- Start small, stay consistent: I built a dedicated stylesheet to define core UI components, branding, and interactions. This ensured consistency while keeping the design flexible for iterations, and also allowed me as a designer and the development team, to stay aligned with the vision while accommodating changes seamlessly.
- Go beyond expectations: I extended my role beyond UI/UX, designing logo concepts and animated identity elements for the app. This side project tapped into my background in branding and visual design, adding a personal touch to the app’s identity. The team even held a vote to select the final logo. More info about the logos here.
- Key takeaways & lessons learned
- Fix issues immediately: with fast-moving projects, no one goes back to fix things later. Keeping a structured, clean workflow saved us from future headaches.
- Design so good, it tricks people?: my team lead (an experienced UX designer) mistook my prototype for an actual Adobe product- he kept trying to ‘skip the ad’ for what he thought was a real commercial event app by Adobe. That moment told me I was on the right track.
SOLUTION
- Our vision
A corporate event hub that simplifies promotion, engagement, and communication for companies and employees alike.
- Why It mattered
We identified several benefits early on:
- Seamless promotion: easy visibility for corporate and employee-driven events, from charity runs to team celebrations.
- Better communication: a smarter alternative to email clutter, giving HR & marketing teams an automated way to share updates.
- Future-proofing: designed to meet current needs while anticipating future scalability.
- Customizable branding: a flexible design adaptable to different corporate identities.
- Potential monetization: the ability to personalize and sell the product to external clients.
The Event App is more than just a tool- it’s a ‘pocket dictionary for corporate events‘ designed to connect, inform, and engage employees. Whether promoting a fundraiser or celebrating a milestone, it brings people together while streamlining corporate communication. For me, it was an opportunity to learn, experiment, and leave a mark on an internal project at Fortech (now GlobalLogic Romania).
